Project Team
Manage who's working on the project — add members from your organisation, set their roles, and drive assignees across every other module.
What is the Project Team?
The Project Team page is where you manage the people working on a specific project. Add members from your organisation, set their roles, and the same roster powers every assignee dropdown across the project — Tasks, Issues, RFIs, Submittals, and more.
The Project Team is project-scoped, not organisation-scoped — each project has its own team drawn from your wider organisation. You can have a dozen people in your organisation but only three of them on a specific project.
Open any project from your dashboard and select Team from the sidebar to get started.
Click "Project Team" to expand · Then click any stage to see details
Adding Members
Click Add Members to open the member picker. It shows everyone in your organisation who isn't already on the project.
- Search by name or email to find the right people fast
- Select one or many using checkboxes
- Confirm — selected members are added with the default Member role
Every project team member must already be part of your organisation. If you need to bring in someone external — a client, consultant, or subcontractor — add them to the organisation first, then pull them onto the project team.
Roles
Each member has one of four roles that controls what they can do in the project:
| Role | What it grants |
|---|---|
| Owner | Full access — created the project, can do everything |
| Admin | Full management — create, edit, and remove anything in the project |
| Member | Day-to-day access — contribute across modules (the default for new joiners) |
| Viewer | Read-only — useful for external stakeholders who need visibility |
Roles are inherited from the organisation level when a member is added, and can be adjusted per project as needed.
Member Status
The team list shows each member's status:
| Status | Meaning |
|---|---|
| Active | Currently on the project, fully active |
| Pending | Added to the project but hasn't accepted or signed in yet |
| Inactive | Removed from the project — kept in the list for audit trail |
Removal archives a member rather than deleting them, so historical assignments stay intact even after someone leaves the project.
Assignment Across Modules
The Project Team is the source of truth for every assignee dropdown in the project:
| Module | How the team appears |
|---|---|
| Tasks | The Assigned To dropdown |
| Issues | The Assignee dropdown |
| RFIs | Manager, Assignees, and Viewers |
| Submittals | Manager and Approvers |
| Reports | Updated By metadata |
Add the person to the team first, then they become selectable everywhere else on the project.
Filtering and Search
The team list is simple but functional:
- Search — match by name or email
- Status filter — show only Active, Pending, or Inactive members
- Role filter — narrow to a specific role (Owner, Admin, Member, Viewer)
- Bulk select — tick rows to remove several members at once
Each row shows the member's name, avatar, phone number, role, status, and join date — enough context to see who's on the project at a glance.
